Grant, Budgets and Accounting Unit

The Grant, Budget and Accounting unit is responsible for grant financial management, preparation of grant budget and setting up accounts in the Financial Accounting System for new grants and contracts.The unit drives the budget process including development, monitoring, and reporting of the annual budget performance. It alsoprepares and files reimbursement claims, and prepare grant and contract budget modifications.

Key functions of the Grant – Budgets and Accounting Unit include:

  • Budget Preparation: Prepare the annual budget in accordance with the grant guidelines & policies and ensure its timely submission to grant donor organizations
  • Budget Tracking: monitoring of the invoice approval process to ensure that vouchers are allocated to their various cost head and grant. Prepare timely response to questioned or disallowed costs on grants and contracts.
  • Grants shared costing – creating a percentage effort shared cost between Grants by using various pre-approved parameters related to the grants.
  • Budgeting & Planning:the unit helps the institute achieve and maintain accurate budget accountability and control over its financial obligations, which is critical to achieving grant objectives.
  • Cash and Funds Management: manage cash, forecasting, and other funds-related functions that help management understand its cash positions and take effective action.
  • Financials: reduce costs by simplifying, streamlining, automating and standardizing key financial processes which includes creating reporting templates that makes reporting easy from all region, states, department and units of the organization.
  • Grant Budget Management (Budget to Actuals): Maintaining budget in line with expenses, eliminating unnecessary cost, delivering real-time cost-based information and ensuring regulatory compliance. Ensuring the timely preparation, analysis, and dissemination of budget compared to actual reports to program directors and other stakeholders.
